Privacy policy

JunaKey is a property maintenance service that works through JunaKey chat, a web chat you sign in to with your mobile number, with a web admin for property managers. It is run by Junabase, Inc., 131 Continental Dr, Suite 305, Newark, DE 19713, USA ("we"). This policy explains what we collect, why, who receives it and the choices you have. We handle personal information in line with the Australian Privacy Principles.
Who this covers
Tenants, property owners, property managers, company managers and service providers who use JunaKey, including people invited by a property management company. For most property and job records, your property management company decides what is collected and why, and we process it for them.
What we collect
- Contact details: your name, mobile number and email address.
- Property details: the property and unit you are linked to, and your role there.
- Maintenance records: requests, messages you send to JunaKey, photos, videos, quotes, purchase orders, invoices, ratings, disputes and job history.
- Service provider details: business name, ABN, trades, service address and radius, insurance certificates and licences.
- Technical records: sign-in records, delivery status of messages, and an audit log of actions taken.
Please don't send information that isn't needed for a repair, such as health details or payment card numbers. Direct messages and calls between you and a provider after a job is booked don't pass through JunaKey, and we don't record them.
How we use it
- To raise, match, quote, approve, book, complete and report on maintenance jobs.
- To send you job updates, approvals and sign-in codes.
- To check a provider's details and documents, so that managers can approve them.
- To keep the service secure, resolve disputes and meet legal obligations.
We don't sell personal information, and we don't use it for advertising.
Our automated assistant
Messages to JunaKey are read and answered by Juna, an automated assistant built on Anthropic's Claude. Juna helps with maintenance only. It can suggest actions, but anything that changes a job needs your confirmation. It may also read documents you send, such as invoices, insurance certificates and licences, to extract details. Property managers can read the conversations linked to their jobs.
Who sees your information
- Your property management company: its managers can see your details and job records.
- Property owners: they see quotes and costs for their own property.
- Service providers: a provider sees the job details needed to quote. Once a job is booked, the tenant and provider receive each other's contact details so they can talk directly.
- Other residents: those following a common-area job see its status, not its cost.
A provider's business details and documents may be shared with nearby property management companies if the provider agrees to that during sign-up.

How long we keep it
We keep job records for as long as your property management company uses JunaKey and for as long as needed to meet legal and record-keeping obligations. We then delete or de-identify them. Daily backups are kept for 14 days.
Security
Information is encrypted in transit. Sign-in uses one-time codes, private links expire, and access to records depends on your role. No system is perfectly secure, so please tell us straight away if you think your account has been misused.
Your choices
- Turn off chat notifications at any time in JunaKey chat or your browser settings. To stop using JunaKey altogether, ask your property manager to remove you.
- You can ask to see or correct your information, or ask us to delete it. We may need to keep some records, and we may refer you to your property management company.
Contact and complaints
Email [email protected] with any privacy question or complaint. We aim to reply within 30 days. If you are in Australia and aren't satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
